We are seeking an experienced and highly organised Administrative Assistant to provide dedicated administrative and clerical support to the CEO of The Partnership Group and CEO office. This role requires exceptional attention to detail, strong communication skills, and the ability to handle confidential information with discretion. The ideal candidate will thrive in a fast-paced environment, managing schedules, transcribing dictation, preparing documents, and coordinating office activities efficiently.
Key Responsibilities:
• Provide high-level administrative support, including managing correspondence, scheduling meetings, and maintaining calendars—particularly when engaging with external stakeholders.
• Act as the primary liaison between the CEO, CEO Office and internal teams.
• Appropriately and professionally direct incoming calls, emails, and inquiries to the correct team member and handle a call sheet.
• Collaborate with the Executive Assistant on diary management, accommodation, and travel arrangements to ensure efficient coordination and execution.
• Maintain and organise records, files, and databases for efficient information retrieval.
• Assist in organising and preparing for meetings, including taking minutes, transcribing dictation, and following up on action points.
• Uphold strict confidentiality and ensure compliance with data protection standards.
• Able to meet fast-paced and changing requests with intelligence, calm and productivity
Key Requirements:
• Experience: Substantial experience in a secretarial or high-level administrative role.
• Education: A Degree or Diploma in Business Administration, Secretarial Studies, or a related field is preferred but not essential.
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software such as Tagmin.
• Communication: Excellent verbal and written communication skills, with a professional and diplomatic approach.
• Organisational Skills: Strong multitasking abilities and meticulous attention to detail.
• Confidentiality: Proven ability to handle sensitive information with discretion.
• Problem-Solving: A proactive, self-motivated approach with the ability to work independently.
Preferred Qualifications:
• Experience within the creative or media industry.
• Familiarity with office management systems and procedures.
• Ability to adapt to high-pressure environments and shifting priorities.
