Agent’s Assistant – Actors Department

Location: Soho, London
Reports to: Actors Agent

We have an opportunity for an experienced and highly capable Assistant within the Actors department.

This is a pivotal role requiring someone who can operate with confidence, discretion and initiative, acting as a key liaison between clients and leading industry professionals. You will be instrumental in ensuring the seamless day-to-day running of the agent’s office while managing competing priorities in a demanding environment.

Key Responsibilities:

  • Manage a high volume of incoming calls and correspondence from clients, casting directors, producers, and industry professionals
  • Coordinate complex schedules, including auditions, meetings, and self-tapes
  • Submit clients for roles via Spotlight and targeted submissions, engaging in pushes where appropriate.
  • Oversee and maintain up to date client materials, including CVs and showreels
  • Track opportunities and proactively support client development
  • Script reading and creative analysis
  • Attend performances, screenings, and industry events as required, hosting Casting Directors and Producers and making formal introductions with clients where appropriate.
  • Negotiate contracts, process administrative details where appropriate, and raise invoices accurately
  • Maintain meticulous financial records in line with agency processes
  • Provide comprehensive, proactive support to the Agent including;  diary management, anticipating needs and managing workflows
  • Manage and process a consistent flow of client self-tapes in a timely and efficient manner.
  • Act as a professional and confident point of contact for clients and industry professionals

About You:

  • Proven experience as an Assistant within a talent agency, casting office, production company, or similar fast-paced environment
  • Highly organised with exceptional attention to detail and accuracy
  • Able to manage multiple priorities and deadlines with confidence and composure
  • A clear, articulate and professional communicator with strong interpersonal skills
  • Proactive and solutions-focused, with the ability to anticipate needs and take initiative
  • Commercially aware, with a strong understanding of the industry landscape
  • Discreet, trustworthy, and experienced in handling confidential information
  • A collaborative team player with a positive, dynamic attitude
  • Calm and resilient under pressure

Requirements:

  • Demonstrable relevant experience in a comparable role is essential
  • Strong administrative and organisational background
  • Tech-savvy and knowledge of platforms such as Vimeo and WeTransfer
  • Proficiency in Outlook, Word, Excel and Tagmin.
  • A genuine and informed passion for film, television, and theatre
  • A conscientious attitude to time keeping and punctuality
  • A degree in an Arts or Media-related subject is advantageous but not essential
