Assistant - Commercials, Creative & Digital Departments

Who: A division of The Partnership Group, The Artists Partnership (TAP) is one of the UK’s leading agencies representing some of the most prominent talent in film, TV and theatre.

Where: Soho, London

The Role: We have an exciting opportunity for a driven and collaborative Assistant to support two of our teams – Commercials, and Creative & Digital. The departments collectively seek opportunities for the full roster of talent across television commercials, corporate films, music videos, social media, events and non-scripted – as well as maintaining and working across small, select lists of talent, exclusively for commercials and creative/digital work. You will be responsible for providing high quality administrative support for the departments at an exciting time whilst we build and grow.

Main Responsibilities:

Client Administration

  • Completing onboarding for all new clients – Tagmin database, Spotlight, website and deck, if needed
  • Coordinating all auditions, recalls, pencils and putting the details into Tagmin
  • Calling clients, emailing details, liaising with the casting offices and keeping status updated
  • Handle logistics for all bookings – wardrobe day details, travel details etc
  • Keeping all client bios up to date
  • Updating client Spotlight CVs, playing ages and headshots

General Administration

  • Creating and updating department newsletters, website and contact database
  • Ensuring the Tagmin database is updated
  • Diary management, meeting scheduling and booking travel
  • Sourcing links, examples of work or press/event photos
  • Raising recall fee invoices, completing new supplier forms and tracking all incoming/outgoing payments for clients. Chasing outstanding monies
  • Processing expenses and tracking department spends

Skills & Experience:

Essential

  • Minimum 1 year of administrative experience, ideally within an agency or a fast-paced, client-facing role in a related creative field
  • A working knowledge of the industry and a genuine interest in commercials, branding, entertainment and social media work
  • Proactive, with strong initiative and a genuine willingness to learn
  • Exceptional administrative skills and the ability to work with accuracy across a high volume of tasks
  • Highly organized, with the ability to prioritize and multitask effectively
  • Collaborative team player with a positive, solutions-focused mindset who stays calm under pressure
  • Strong written and verbal communication skills
  • Professional and discreet when dealing with confidential information and high-profile clients
  • Eager to grow and develop within the role and department
  • Proficient in IT systems, including Microsoft Office (Word, Excel, Outlook, etc.)

Desirable

  • Experience of Spotlight and Tagmin
  • Canva experience
