Position Overview
Michelle Blair Management is looking for a highly organised and proactive Executive Assistant to provide dedicated support to the Senior Agents within our Talent Department. This role is central to ensuring the day-to-day operations run smoothly, managing communication, scheduling, and administrative functions across the department.
You will also work with the wider team and handle a significant amount of independent work. The ideal candidate is someone who thrives in a fast-moving environment, can anticipate needs, and is confident making decisions to keep processes running efficiently.
Part time – 3 days per week initially
Key Responsibilities
Executive Support
- Oversee the Senior Agents diaries, appointments, travel, and general schedule
- Manage and prioritise emails, calls, and messaging, responding or redirecting as appropriate
- Act as the first point of contact, screening enquiries and determining which issues require escalation
- Prepare documents, briefing packs, minutes and communications on behalf of the Senior Agents
Department & Talent Coordination
- Support the Senior Agents in managing client-related administration and communication
- Coordinate ongoing projects and maintain clear information flow between Agents, Assistants, and external contacts
- Track deadlines, follow up on outstanding actions, and ensure accurate records are kept
- Assist with casting-related tasks, meeting arrangements, and documentation where required
Operational & Administrative Duties
- Organise internal and external meetings, including preparing agendas and materials
- Maintain departmental systems, files, and databases to support efficient workflow
- Assist in improving processes and supporting the operational needs of the Talent Department
- Ensure the Senior Agents are fully briefed and prepared for daily commitments
Skills & Attributes
- Exceptional organisational skills with the ability to multitask effectively
- Excellent written and verbal communication
- A high level of integrity and precision, especially when handling sensitive information
- Able to work calmly under pressure and adapt quickly when plans change
- Strong initiative with the ability to make decisions and problem-solve independently
- Proactive, motivated approach to work
- Professional, discreet, and confident handling sensitive information
- A genuine interest in the entertainment industry, including film, TV, and theatre
Experience
- Previous administrative experience required
- Experience in a talent agency, casting office, production company, or entertainment environment is advantageous
- Background as a Personal Assistant or Executive Assistant or working in Operations is especially relevant
Salary – Competive/dependant on experience
Start date – To be discussed
Location – Central London office but we are also happy to discuss hybrid working if required.
