Agents’ Assistant

We are recruiting for a brilliant administrator for a full time role, intially on a fixed 12 month contract and permanent thereafter.

The assistant’s main role will be to provide administration support to two agents in a boutique agency, with additional duties focused on the Childrens’ Media and Animation department. KPA represents writers, directors and producers working in Television and Film.

We are looking for someone with energy and enthusiasm who is organised and has a genuine passion and interest in television and film. Strong administration, numerical and organisational skills are essential and experience with contracts would be desirable. The agency will provide training in some aspects of the role. A particular interest in and ambition for children’s drama and animation is desirable but not essential. The candidate should have a minimum of 12 months relevant experience ideally in a media agency or similar relevant work environment.

The assistant should enjoy working as part of a small team and be confident about working independently with the ability to hit deadlines and ensure that tasks, duties and responsibilities are followed through.

This is a full time role at 35 hours a week. You will be working closely with the agents and also the Senior Agents’ Assistant.
This role is currently a mixture of remote and two days in an office. However, at a later stage the assistant may be expected to work full time from an office. A laptop will be provided for home working.

Summary of Main Duties:
• General office administration and being responsible for the smooth running of the office. Including maintaining databases and filing systems, maintaining office supplies, dealing with any IT issues through liaison with the IT support providers.
• Providing general PA support to the agents through managing diaries and booking meetings.
• Dealing on a daily basis with enquiries from clients, producers, and production companies.
• Processing invoices and statements and ensuring that clients’ payments are up to date and accurate. Maintaining AgentFile and liaising with their technical support services where there are any problems. Check for overdue invoices and chase payments as directed.
• Keeping the outward facing elements of the agency (website, Twitter feed, etc.) up to date, including any news items on the website and client CVs.
• Keeping the reference tools for the agency (meeting and client logs, production and theatre company databases) up to date and being the first point of contact for any enquiries.
• Dealing with submissions to the agency from potential new clients. Reading scripts and providing reports and feedback to the agents. Keep track of any emails or communications from potential new clients and pass these onto the agents.
• Assisting with submissions of clients’ work to producers and production companies, tracking responses and arranging meetings and follow ups where necessary.
• Organising mail outs of clients’ scripts and pitches as directed and ensure that these are completed and logged in client logging and that a timetable for follow up is created.
• Particularly in the Children’s Media department, keeping across all relevant contracts, checking agreements, preparing and issuing for signature and tracking completed agreements.
• The role will also provide opportunities to input in the development of the agency’s clients’ careers with suggestions for submissions and to bring new ideas and actions to improve the agency’s admin and reference systems.

Essential Skills and Experience:
• Excellent administration and organisational skills
• Attention to detail and strong communication skills
• Experience working either in a creative talent agency, film or television company or in a relevant creative industry role
• Good numeracy skills
• Knowledge of working with Microsoft Office packages
• Genuine passion and interest in film and television

Desirable Skills and Experience:
• Interest or experience in working in children’s media and animation
• Experience of script reading / reporting
• Experience using AgentFile
• Experience of dealing with talent contracts.

Salary @ £22,000 – £24,000 depening on experience
