Assistant to Agent, Production Arts

UTA are looking for an Assistant to work with a Production Arts Agent. The Production Arts Agent represents film, TV and short film clients.

The Assistant will have previous experience working within the Film and TV industry and be able to demonstrate an ability to work within a fast-paced and high-pressured environment.

You will be responsible for managing both your Agents’ and Clients’ schedules, seeking new opportunities across the industry and quickly gaining an understanding and knowledge of clients’ work and specific requirements, ensuring the smooth running of your Agent’s office.

What You’ll Do:
Your responsibilities will include, but not be limited to:
• Managing the Agent’s inbox in an efficient, timely and proactive manner.
• Scheduling meetings/agendas for agent, preparing logistics and documentation for meetings as required.
• Creating schedules for client trips.
• Proactively resolving enquiries or escalating as appropriate.
• Providing cover for the agent when they are away from the office.
• Answering the phone, transferring calls to agent, taking messages and covering for colleagues when they are away from their desks.
• Processing invoices, tracking client working hours/days, submitting client expenses and other basic accounting tasks on an ad hoc basis, working closely with our Accounts team.
• Maintaining client and business contact details, sending out terms of business as required.
• Building and maintaining relationships with production companies and other business contacts, attending client screenings as required.
• Reading and watching material on an ongoing basis and discussing observations/opinions with colleagues in the department.
• Submitting material and following up on proposals made by the agent.
• Setting up and co-ordinating meetings for the agent and their individual clients.
• Supporting the agent on updating client showreels, web pages and CVs when required.
• Assisting management with immigration needs, such as immigration forms, assigning sponsorship certificates for clients travelling to the UK, and maintaining current passport copies.
• Attending client screenings as required, developing business relationships.

What You’ll Need:
• Previous experience within the industry (production, theatre, film and/or television) is desired.
• Strong interest in the visual arts would be beneficial.
• General understanding of the entertainment industry and the nature of a talent agency.
• Excellent verbal and written communication skills.
• Excellent organizational skills.
• Familiarity with Microsoft products (Outlook, Word, Excel).
• A high level of accuracy and attention to detail in your work.
• Discretion at all times, particularly when dealing with sensitive client matters.
• Experience and knowledge of the existing BECTU film and television agreements would also be beneficial.
• Experience of using social media platforms.
• Ability to prioritize a busy workload.
• Ability to develop and maintain strong business relationships.
