ASSISTANT TO TWO FILM & TV AGENTS

Role Overview
An Assistant to two Film and TV Agents; one who is based in our London office and one in Dublin (although they will visit the London office every couple of months). You will be based at our office in London on the Strand splitting your working week equally between the two agents. The two agents represent screenwriters, directors and a few literary properties.

Main duties:
– Taking and fielding calls for both agents
– Liaising and building a relationship with clients ensuring you’re the first port of call
– Managing the diary and setting meetings for both agents and their clients
– Keeping track of contracts (circulating for signature either physically or electronically, chasing up as necessary) and ensuring fully executed copies are filed and saved
– Putting together Word document booking notices using information gleaned from contracts (training will be provided) including details of payments to be invoiced
– Organising travel/accommodation/meeting itineraries
– Proactively providing information that is needed on companies/projects in advance of meetings. Ensuring that we have up to date details of where producers/execs currently work, and previous projects.
– Forwarding or handling invitations and press requests.
– Attending the weekly reading meeting and bi-weekly agent’s meeting
– Script reading and discussion on clients’ work
– Compiling a weekly to-do list; making sure the agents are aware of any deadlines
– Coordinating representation enquiries and paperwork for new clients
– Tweeting, updating the website and client CVs, creating and maintaining Vimeo profiles and content, sourcing publicity and production stills as needed
– Providing short pre-written client bios on request
– Reading and writing coverage on books and scripts
– Compiling lists, tracking submissions
– Helping to co-ordinate the bi-monthly unrepresented screenwriter/director surgeries
– Taking minutes in meetings occasionally and circulating reports
– Adding any new projects to our internal Grid and ensuring information is up to date
– Making enquiries with publishers/publishing agents to discover whether film/TV rights are currently available
– Using Microsoft Word’s tracked changes tools to amend documents and to compare two versions of a document
– Working with the Finance team to keep on top of invoices
– Managing and administering client guild memberships (such as WGA/DGA/WGGB/ALCS)

Requirements
– Knowledge of and interest in the Film and TV industry.
– Computer literate, with excellent knowledge of Microsoft Office programs.
Knowledge of Tracked Changes functions in Microsoft Word is advantageous but not essential.

Experience & Skills
– A minimum of 1-2 years experience in the Film & TV industry is ideal but not a necessity
– Exceptional attention to detail, organisational and forward-planning skills
– An ability to multi-task
– An ambitious self-starter who would like to grow within the company
– A friendly, positive, “can do” personality, a good sense of humour and a great team player
– Excellent interpersonal and communication skills and confident telephone manner
– An incisive approach to analysing material and providing feedback
